Committee Meeting Minutes

November 14, 2007

 

Welcome : It was great to see some new faces at the meeting. Those new introduced themselves and we began the meeting.

Secretaries Report: A correction to the previous month’s minutes - NVR will not be donating the DVD’s for the senior video this year. Considering this correction,

minutes were approved.

Treasurer’s Report: Report was read and approved. 1st Diane D; 2nd Sandy S.

Donations: To date, we have received $6,360.00 in donations. This figure is about ½ of what we have projected for the donations.

Food: Brenda gave a big ‘thanks’ for those who donated items and helped with the food for the bingo. The food was a success and profited about $495 total.

Casino: No Report

Gift Bags: Committee has asked seniors for some ideas about items to include in this year’s gift bags. Cash is a big hit! More work with this committee will begin after the first of the year.

Basket Bingo: Theresa thanked everyone! Bingo was a great success. To show appreciation, the committee provided all of us with a wonderful spread of snacks (in baskets and pottery, of course!) Overall profit of the bingo was $4836 - well over the amount we had projected. Profit as follows:

Food $495.56

50/50 355.50

Tip Jars 1,421.25

Remainder in ticket sales including $135 for tickets for Feb 08 bingo.

Memory room: Committee shared that last year, spring teacher aides produced the memory DVD. We will be able to find out in February if this year’s aides can do this for us. Per Sharon Hamilton, she’s already contacted the video department at FCPS and they will duplicate the DVD’s for us.

Committee will let seniors know that they can email - mail - send photos via CD’s, DVD’s of things they want to share and put on the memory DVD.

Golf: Terry Eyler gave us Friday April 25, 2008 as the date for our Golf Tournament. An idea of a ‘golf ball drop’ was shared as well as some other ideas to think about. This event is just in the early planning stages.

Security: Tracey will give the committee the contact #’s for folks at Camp David to secure some folks for our security on Safe and Sane night.

Fundraising:

ATV Raffle - have sold 484 to date. Need to sell 500 to break even.

Some ideas for selling incentives were discussed. Not sure of the legal

issues surrounding having our kids sell the ATV tickets.

Sign-up sheets were passed around to sign up for basketball games in

December and a sign up sheet to sell raffle tickets December 1st at

Christmas in Thurmont.

Going to ask Wal-Mart about setting up a table on black Friday to sell raffle tickets.

Ended up only making $1000 off cash raffle instead of projected $4000.

Winners were drawn at the end of the meeting. Only sold 2000 tickets instead of the projected 5000.

Decorations: No Report

Public Relations: Sharon Hamilton contacted papers - Emmitsburg dispatch included, as well, and channel 18.

Thank-You: All “thank-you’s” were written and either mailed or hand delivered with the exception of the new list of 13 donations. Kim will write those and mail by our next meeting.

Entertainment: JR has received the company catalogs/books. The company is mailing him a 2008 book. To match last year’s entertainment, it will cost $15,800 this year. The company needs a down payment of ½ in December.

New Business: Donna H brought up the plans for the Senior fundraisers -

They are selling t-shirts - lanyards - and are having a Roy Roger’s night on December 12th from 5-8pm.

Our next meeting will be Wednesday, December 12th. We will be drawing the ATV raffle that night.
