Committee Meeting Minutes
January 9, 2008
Welcome : Tracey and Lisa welcomed everyone and requested anyone new to the meetings please sign in on the attendance sheet. A request was made to review Decembers minutes, a motion was made to approve, motion was passed.
Secretaries Report: Kim had no report. Laurin mentioned that we discussed at a previous meeting sending out another notice to all senior parents about Safe and Sane and include upcoming fundraisers. Lisa will be meeting with Mr. Newkirk and will confirm some upcoming event dates. After that we will resend the parent notice. Secretaries requested that everyone please mark down any volunteer hours on the sign in sheet.
Treasurer’s Report: A copy of the Treasurers Report was distributed. It was noted by Wendy that Tax Fees are not taxes but a filing fee. She stated our 5013C was ok and our taxes are all signed off on. Motion was made to approve the report, motion was passed.
Donations: $0 was received this month in donations.
Food: Debbie reported that the food permit for the bingo has all been taken care of. Menu for the Feb. bingo will be the same as the Nov. A sign up sheet is being passed around for donated food items. She also requested that it be clearly marked on the items if any nuts, peanut butter, coconut, etc. are used in the making of the food. Many people have allergies and she would like to avoid any issues related to that. Food for the Dinner Dance will come from the same sources. Will have more info on that next month.
Casino: No Report
Gift Bags: Committee will be meeting this month and brainstorming for ideas. Will have a report next month.
Basket Bingo: Flyers were handed out for members to post wherever they can. Tickets are now being sold for the Feb. bingo. This time it will be a combination of Longaberger and Vera Bradley. A King Tut tip jar will be added. A sign up sheet for anyone wishing to sponsor a basket was passed around. It was requested that tickets and money be turned in asap in order to get an early count on attendance.
Memory room: Parents are to use 20 X 30 poster board ( or any board) for their pictures. This keeps things uniform. No further report at this time.
Golf: Terry Eyler again mentioned the tournament will be scheduled for April 25. He will need 3-4 volunteers and will start meeting in Feb. to finalize plans. Will also start to look for sponsors. More info next month.
Security: Committee will need volunteers to help out graduation night. Will discuss more at later date.
Fundraising: Donna needs silent auction items for the dinner dance which is tentatively set for March 15. Tickets are not available yet, she will contact everyone as soon as they are. Please sell Restaraunt Raffle Tickets, see her if you need more and turn in money asap. Rockys All You Can Eat Spaghetti night will be Monday 1/ 14. Tickets can be bought at the door. Please bring all donation monies to the next meeting. Donna also mentioned that we need to be doing better on our fundraisers, please sell as many tickets to all events as you can, and involve other parents in selling as well.
Decorations: No Report
Public Relations: Tracey will contact the papers to advertise the Basket Bingo and Dinner Dance.
Thank-You: All “thank-you’s” were written and either mailed or hand delivered by Kim
Entertainment: Check was mailed out today to Brooks, requested changes were made. This also paid for more than 1/2 of the casino. A revamped list is being made and sent to JR. Attractions so far will include Ball Bounce, Minature Golf. Looking into prices on making dog tags and picture viewers (unlimited) with the kids pictures in them.
Clean-up: No Report
Baccalaureate: No Report
Picnic: Tracey stated we did not get the grant she had applied for. No further report.
New Business: The March meeting will be held at The Mount, so we can see how things will be set up. Might not be the second Wed., but date will be announed at the next meeting. Feb. meeting is BRING A JUNIOR PARENT night. Everyone is encouraged to being Junior parents with them, we will need their help on Graduation night and for their kids next year. A poster was donated by Les Millar to Safe and Sane to use in place of last years. This one has velcro on it and the therefore allows the dates to be changed. It came with a supply of numbers also. Donna reminded everyone to pick up there dinner at Roy Rogers before our Feb. meeting and support Safe and Sane.
