Committee Meeting Minutes

August 15, 2007

 

A motion was made to approve the meeting minutes of the previous meeting.  Motion passed and second.

 

Welcome:   Everyone was asked to introduce themselves and who their senior class child/children are.  Many new people attending this evening. Still have committees that need leadership. 

 

Secretaries Report:   Everyone is asked to veify their email addresses on the list at the sign in table.  Please make any changes.  More addresses are being added every month and will be emailed to everyone.  Anyone who needs parent address labels can get the labels from Laurin, they can then be taken to the high school guidance office for printing.


Treasurers Report:
  Wendy Cordell  has signed for the accounts at Woodsboro bank but to date still does not have the check book from the auditors. Two papers were distributed showing the Budget and Projected Fund Raisers.  Motion was passed and second to approve 2008 Budget and Fund Raiser goals.

 

Food :  Debbie Landry reported that parent volunteers are needed for the Oct Dance to help set up and break down.  Food is being catered.  Sign up sheet

was passed around.  Brenda Lenhart will Co Chair this committee with Debbie. Donations of food and volunteers are also now needed for the basket bingos.

 

Casino and Raffle Prizes:  No Report

Gift Bags and Momentos:    No Report

 

Donations:  The donation box that was at the dunk tank during the carnival netted $54.03 in donations.  Bill Blakeslee who was unable to work the dunk tank donated $20.00.  We also received $80.00 from Food Lion MVP program.  Committee is still waiting to recieve the book with last years info in it before sending out letters to businesses for donatins.  Food Lion will again place containers at check out for cash donations, this will be alternated weekly with other organizations. 

 

Basket Bingo:  Theresa Tomasini will be helping to coordinate the basket bingo with Gladys and Wanda.  Bingo permits are being acquired.  Themes will be used for the bingos, (ex. Pasta baskets, tolietries, etc)  Families can either fill a basket or donate $15.00 to have a basket filled. Tickets to the bingo will be sold at the community show the weekend of Sept. 7 and a basket will be raffled as an incentive to purchase tickets early.  Committee was informed that a food permit is needed at the firehall.  Dave Little will get permit and take care of tip jars.  Noted: door prizes do not count as raffles, therefore it is not counted against our limited number of raffles for the year.

 

Memory Room:  No Report

Golf:  Terry Eyler has agreed to chair the golf tournament again

Security:  Don Cool and Sharon Hamilton will Co-Chair this Committee.  No report at this time.

 

Fundraising:  Contracts signed for Oct 6 and March 15.  Bruce Rice has volunteered to donate his time to DJ the October dance.  Tickets need to be sold prior to next meeting,. Please keep track of who has purchased tickets.  Each member attending tonight received 15 tickets to sell.  Donna distributed a memo Quick and Easy Ways to Raise Money (see attached copy).   A Table will be set up at Community show selling and advertising all our fundraisers, along with a questbook to enourage people to sign up for email info from safe and sane.  Sign up sheet was passed around for everyone to volunteer to work the table for 1 hour.  A booth will also be set up at colorfest by the funeral home.

 

Decorations:  Cheryl Thomas will help whoever chairs.

Public Relations/Advertising :  Still need someone to chair this committee.  Sandy Stackhouse agreed to advertise upcoming events for this month only.

 

Thank You Cards and Notes:  Thank You notes will be sent to Bob Viti, Kurt Stein, Mr. Newkirk, Ron Terpko, the Firehall and Bill Blakeslee for donating their time in our dunk tank at the carnival.

Entertainment:  No Report

Clean Up:  No Report

Baccalaureate:   No Committee at this time. Diane Daniels may consider chairing committee.

Senior Picnic:  Tracey has been in contact with Rita's Italian Ice to provide Italian Ice cups for the kids. Price is very reasonable.

 

Old Business:  It is recommended that Baset Bingo start later, around 1pm, since tip jars cannot be sold before 2pm.  Lisa Kidd distributed raffle tickets to new attendees and a picture of the four wheeler was viewed.

 

New Business:  It was decided that parents need to attend at least 3 meetings in order to eligible to chappareon on the night of the Safe and Sane party. Next meeting will be held on September 12, 2007 at 7:00pm @ CHS Medial Center.  Please tell other senior parents about Safe and Sane Meetings.
